This policy explains how Reading Taekwon-Do collects, uses and protects your personal information when you use our website or train with us. Reading Taekwon-Do is run by James Dilley as a sole trader, and James Dilley is the data controller responsible for your personal data. The information we collect
When you book a trial, complete a membership form, or use our contact form, we collect the details you give us. This typically includes your name, email address, phone number, and where relevant the name and age of a child you are enrolling. For members we may also hold emergency contact details and any medical or injury information you choose to share with us so that we can keep you safe during training.
When you visit our website, we also collect limited information about how you use it through cookies and similar technologies, but only where you have given consent. This is explained in the cookies section below.
How we use your information, and our lawful basis
We use your information to run the school and to communicate with you. Specifically, we process booking and membership details to manage your trial, membership and attendance, and to arrange payment, which we do on the basis of our contract with you or steps taken at your request before entering into one. We keep basic safety and emergency information so that we can respond appropriately during classes, which we do on the basis of our legitimate interest in keeping students safe, and where health information is involved, with your consent.
We send marketing and newsletter emails about classes, events and offers only where you have agreed to receive them, on the basis of your consent, and you can withdraw that consent and unsubscribe at any time using the link in any email or by contacting us. We use website analytics and advertising tools only where you have consented through our cookie banner, as described below.
Cookies and tracking
Our website uses cookies. Some are strictly necessary to make the site work and do not require your consent. Others, including the Meta (Facebook) Pixel and Google advertising tools, help us understand how people find and use our site and measure the effectiveness of our advertising. These are only activated if you accept them through the cookie banner shown when you first visit. You can change or withdraw your choice at any time by [clearing cookies / using the banner settings]. You can also control cookies through your browser settings.
Who we share your information with
We do not sell your personal information. We share it only with the service providers who help us run the school and website. Our website and its forms are hosted by Wix, which stores the information you submit. Where you have consented to tracking, data is shared with Meta Platforms and Google through their pixel and advertising tools. We also use Google reCAPTCHA to protect our forms from spam, which involves Google processing limited technical data when you submit a form. These providers may process data outside the UK, including in the United States, and where they do so they are required to protect it to a standard consistent with UK data protection law.
How long we keep your information
We keep your information only as long as we need it. While you are training with us, we keep your membership and contact details for as long as you remain a member. After you stop training, we keep adult members' details for up to three years, which allows for any follow up or claims that may arise. For students who joined as children, we keep records for longer, until they reach the age of 21, in line with the extended period during which a claim relating to childhood can be brought. We keep financial and payment records for six years to meet our tax and accounting obligations. Marketing contact details are kept until you unsubscribe or ask us to remove them.
Your rights
Under data protection law you have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete your information, to object to or restrict how we use it, and to withdraw consent where we rely on it. To exercise any of these rights, contact us at james@readingtkd.com. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk, though we would appreciate the chance to resolve any concern first.
Children's information
Some of our students are children. Where a child joins the school, we ask that a parent or guardian completes the booking and membership process and provides consent on the child's behalf. We collect and use children's information only to run their classes safely and to communicate with their parent or guardian.
Changes to this policy
We may update this policy from time to time. The current version will always be available on this page, with the date it was last updated shown at the top.
